Terms & Conditions - The Coaching Retreat

 

🌿 **RETREAT DAY TERMS & CONDITIONS

(Eudaimonia – The Coaching Retreat)

Please take a moment to read these terms before booking. They’re here to keep everyone safe, supported, and clear on how the retreat works.

1. Your Booking & Participation

By booking your retreat day, you’re agreeing to these terms.

• You must be 18 or over
• Participation is voluntary, you can step out at any time
• If you’re unsure about anything, just contact me before booking

2. Confidentiality & Group Agreements

These days work because everyone feels safe to be open.

​

What’s shared in the group stays in the group.

• Personal stories, experiences, and names must stay confidential
• This continues after the retreat has ended

​

As your retreat leader, I will also keep what you share confidential, except where I am legally required to act (risk of harm, child protection, court orders, or disclosure of terrorism).

Group Respect Agreement

By joining us, you agree to:
• Listen with kindness
• Share (only if you want to) without judgment
• Respect boundaries
• Allow others space to speak
• Minimise distractions
• Honour differences

3. What the Retreat Is — and Isn’t

What it is:

• A reflective, personal development experience
• Coaching-based group learning
• Space for self-awareness, wellbeing, and connection
• A single-day format

What it is not:

• Therapy, counselling, or mental health treatment
• Medical or clinical advice
• A crisis service
• A promise of specific results
• One-to-one coaching

If something comes up that needs more specialist support, I will gently let you know and offer signposting.

4. Health & Wellbeing

To help me support you safely:

Your responsibility:

• Let me know before attending if you have any mental health conditions that may be affected by group work
• Take care of your wellbeing during and after the retreat
• Speak up if something feels uncomfortable
• Continue any professional support you already have

My responsibility:

• Hold a safe, respectful space
• Stay within my professional boundaries
• Signpost to other support if needed
• Keep an eye on the group dynamic and safety

If you’re in crisis:

Please seek immediate help —
• Call 999 in an emergency
• Samaritans: 116 123
• Text SHOUT to 85258
• Contact your GP or A&E if urgently needed

5. Sound Bath Screening

Please inform me before the retreat if you answer YES to any of the following:

• Pregnant (under 12 weeks)
• Frequency-triggered epilepsy
• Current or past severe mental health conditions (e.g. schizophrenia, bipolar, dissociative disorders)
• PTSD diagnosis
• Recent surgery or medical procedures
• Severe allergies requiring an Epi-pen
• Serious medical conditions I should be aware of
• Difficulty lying on the floor (a chair can be provided)
• Metal implants

6. Recording & Materials

• No recording of the retreat is permitted
• If I ever record for professional development, I will request your explicit consent
• All retreat content is my intellectual property, please don’t copy or share it

7. Payment, Refunds & Transfers

Payment:

• £120 in full, or £40 deposit with a payment plan
• Payment confirms your place

​

Cancellation (Your Side):

• More than 14 days before: full refund
• Less than 14 days: no refund, due to limited spaces
• Emergencies assessed individually

My Cancellation:

• You will receive a full refund or be offered an alternative date

Transfers:

• You can transfer to another date if requested 5+ days before
• One transfer per booking

8. Insurance, Ethics & Professional Standards

You are supported by:

• Public Liability Insurance
• Professional Indemnity Insurance
• Membership of the British Psychological Society (Coaching Division)
• Regular supervision and ongoing professional development
• 18+ years of coaching and facilitation experience

If you have concerns at any time, please speak to me directly.

9. Liability

Personal development work can bring up emotions.
• You take part at your own pace and responsibility
• I am not liable for decisions you make after the retreat
• My liability is limited to the retreat fee paid
• No specific outcomes are guaranteed

10. Data Protection (GDPR)

Your information is stored securely and used only for:
• retreat delivery
• communication
• legal compliance
• safety
• professional standards

You have rights to access, update, or request deletion of your information.

Agreement

By booking, you confirm you:
• Have read and understood these terms
• Are joining voluntarily
• Take responsibility for your wellbeing
• Agree to confidentiality
• Understand the refund policy
• Consent to the data policy
